Position: Office Manager Assistant

Job Type: Part Time

Job Summary: The Office Manager Assistant will report in office Monday and Tuesday with a potential to add in one more day. They will oversee the day-to-day administrative operations of our office. The ideal Office Manager Assistant will be a detail-oriented professional with excellent communication and organizational skills. The Office Manager will play a crucial role in ensuring smooth business operations, fostering a positive work environment, and supporting the needs of our team.

Duties/Responsibilities:
• Oversee daily office operations, including managing schedules, appointments, and resources.
• Implement and maintain efficient filing systems, both electronic and physical.
• Act as a liaison between employees and management, facilitating clear communication channels.
• Respond promptly to inquiries and coordinate communication flow within the office.
• Provide administrative support to various teams, including scheduling meetings, preparing documents, and handling logistics.
• Assist in onboarding new employees and facilitating training programs.
• Coordinate office maintenance and repairs, ensuring a clean and comfortable working environment.
• Manage relationships with vendors and service providers.
• Oversee administrative staff and assign tasks based on workload and priorities.
• Conduct performance reviews and provide feedback to support professional development.
• Assist in budget preparation and monitor office expenses.
• Process invoices, track expenditures, and reconcile financial records.
• Plan and coordinate office events, meetings, and conferences.
• Arrange travel, accommodations, and logistics for staff when necessary.
• Oversee office technology infrastructure, including computers, phones, and software tools.
• Troubleshoot basic IT issues or coordinate with IT support.
• Collaborate with HR on personnel matters, including timekeeping, leave requests, and benefits administration.
Required Skills/Abilities:
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• Proficiency in MS Office, Quickbooks and office management software.
• Ability to identify challenges and proactively implement effective solutions.
• Flexibility to handle diverse tasks and adapt to changing priorities.
• Maintain confidentiality and uphold a high level of professionalism.
• Ability to work collaboratively with various departments and levels of the organization.

Education & Experience:
• Bachelor’s degree or pursuing bachelor’s degree in business administration, Management, or relative experience to field (preferred).
• Proven experience as an Office Manager assistant or in a similar administrative role.
• Familiarity with office management procedures and basic accounting principles.
