General Summary/Overview Statement

Under general supervision of the Assistant Director and according to established policies and procedures, is responsible for the coordination and operation of the Computerized Maintenance Management System (CMMS). Administers and directs the day-to-day computer data management, provides data on operations, utilities, construction projects, and regulatory compliance using CMMS system.

Principal duties and responsibilities:

1. Maintains software systems and all other data, hardware software systems related to the departments operations.

2. Issues new and collects completed Preventive Maintenance (PM) work orders; enters data from returned work orders and maintains files of PM’s.

3. Inputs data to computerized PM program; updates equipment list files, tasking, scheduling; produces reports as required.

4. Conducts and coordinates training for staff on new computerized elevator equipment.

5. Coordinates all elevator tests and inspections with vendors and state as required.

6. Performs minor elevator inspections on lights, cabs, doors, safety edges, light rays, etc.,
maintains documentation of all inspections. Maintains and updates elevator signage.

7. As needed, checks elevators that are reported as non-operational. Also investigates elevator night calls to determine if service is required.

8. Acts as back up coordinator in directing weekly generator test.

9. Generates generator test reports.

10. Informs Engineering Supervisors and Managers of problems encountered during testing.

11. Responds to all emergency situations as appropriate and/or necessary.

12. Communicate with other employees, management, and vendors as necessary regarding building systems and operations.
13. Participates in department and team planning and provides input in developing solutions to advance priorities.
14. Participates in educational programs to meet performance expectations.
15. Attends and actively participates in department, team, and one on one meetings with supervisor.
16. Provides updates in shift huddles with team members to ensure continuity of services across shifts.
17. Maintains a safe and clean work environment in areas where work is performed and in Engineering department.
18. Closes work order in Maximo to maintain an accurate record of services provided.
19. Completes work in accordance with regulatory and accreditation standards.
20. Supports team members to problem solve and complete work orders to meet customer needs.
21. Monitors work performance using CMMS and prepares and/or reviews performance evaluations for assigned personnel.
22. Upholds BWH values and customer service standards in all interactions within and outside of the Engineering Department.
23. May be required to carry the on-call pager.
24. May be required to work weekends or rotating shifts.
25. Submits ideas on continuous quality improvement.
26. Interacts with the hospital administration as needed to resolve problems and build excellent customer relations.
Performs other duties as assigned.


1. Bachelor’s degree in related field and/or equivalent work experience in Plant Engineering or Facilities Management/Operations is required.
2. Commitment to being involved in team oriented management, with the ability to work independently and thrive in a dynamic office environment.
3. Preventive maintenance experience required. 2-4 years of varied experience in mechanical maintenance trades required.
4. Effective written & verbal commutation skills.
5. Ability to multi-task and establish priorities.
6. Familiarity and experience with MAXIMO database preferred.
7. Fluent in MS Office, including Word, PowerPoint, Excel, and Outlook.
8. Hospital experience in engineering or safety management (mechanical, electrical, civil, biomedical, safety officer, or occupational safety and health specialist) preferred.

Skills and abilities required:

1. Must be able to interact and cooperate with staff throughout the hospital.

2. Must be able to read mechanical and electrical blueprints.

3. Must not have a fear of heights.

4. Must exert to lift approximately 30 lbs. approximately 15% of the time.

Working Conditions:

1. May occasionally (less than 20% of the time) get involved in a dirty and hazardous environment in the routine performance of duties.

2. Work requires regular walking, standing, sitting, climbing and use of ladders.

3. May be required to work with a containment or in a containment booth.

4. May be required to work with a respirator.
