What You Will Be Doing in this Role...

Supervises Facilities Coordinator and Maintenance Technician
Works with Chief Compliance Officer and Program Directors to ensure facility compliance for clinical licensing and state site visits.
Coordinate health quality and other governmental and internal inspections of clinical and residential sites.
Documents deficiencies and resolutions.
Works with site Program Directors to ensure compliance with town and state regulatory standards (building) and completion of any corrective action plan on facility issues.
Oversees IT vendor and Facilities Coordinator to ensure weekly set up of new hires is timely and complete as requested by hiring managers, including issuing technology devices, mobile phones, network permissions, office equipment/furniture and access keys.
Manages IT vendor to ensure adequate response to technology issues for all locations and staff (400).
Oversees ordering replacement devices and approve on site IT visits.
Participates with CFO on weekly IT strategy meetings.
Manages utility vendor accounts and maintenance of all 21 facility operational needs including, energy utilities, internet, telecommunications, trash removal, shredding and reported repair issues.
Manages all building and vehicle security surveillance and building access systems including set up of user viewing permissions and fielding requests for footage, changing of locks as needed.
Participates in the development and management of emergency response and disaster recovery plans, including evacuation plans, alarm systems, roof leaks, plumbing and electrical needs.
Oversees independent facility contractors.
Negotiates annual contracts with vendors for services including cleaning, HVAC, lawn maintenance, snow plowing, security monitoring, repair of vehicles, etc.
Works with Program Directors to ensure proper maintenance of fleet of vans to ensure timely renewal of inspection, registrations, oil changes and other maintenance.
Acts as point of contact for all vehicle accident insurance claims.
Works with Program Directors and off site storage vendor to store files, manage request for files and destruction of records based on records retention policies.

Requirements
Qualifications

· 5 -10 years experience with facilities management

· Bachelor’s degree preferred, High School graduate required

· Strong interpersonal skills

· Knowledge of MS Word, Excel and Outlook

· Ability to multi-task and prioritize

· Ability to work well with all levels of staff, providers, work crews and officials

· Knowledge of state, federal, and local requirements as well as regulatory standards
