The Office of Physical Resources & Planning (OPRP) provides complete and integrated planning and design services, construction management, building renewal, maintenance, and operations management to maintain the physical resources of the FAS campus. To accomplish this mission, OPRP relies on a unique set of IT systems and applications to fulfill its day-to-day business needs.
Duties & Responsibilities
Responsible for directing a wide range of support functions and all activities relating to building operations, building systems, security, maintenance, services, and facility budget control for FAS locations, including Widener Library, Lamont Library, Pusey Library, Houghton Library, and Harvard Library (HL) locations, including the Harvard Depository/RMS. Manage and oversee the security program for all FAS Libraries and HL. The FAS portfolio totals 800,000 Sq. Ft., and the HL portfolio totals 200,000 Sq. Ft., combined budgets $10M+.
Job-Specific Responsibilities:
• Lead all aspects of building operations to ensure the highest quality service is provided.
• Provides leadership, supervision, and guidance to building operations and administrative staff, door checker staff, and contractors, including maintenance, security, mail, and custodial staff.
• Serve with a dotted-line reporting relationship to the HL Director of Administration and Finance and as a member of the Senior Administrative Team, participate in strategic planning and goal setting for the FAS and HL organizations.
• Establish and oversee processes needed for maintenance, emergency repairs, safety program, and renovations.
• Develops, prepares, and manages annual building budgets and requests.
• Develops long-range maintenance and life cycle costing plans for building systems.
• Manage and oversee the security program for all FAS and HL library locations (including but not limited to Widener, Lamont, Pusey, Houghton, Tozzer, Yenching, Fine Arts/Littauer, Loeb Music, Cabot/Science Center, Statistics/Science Center, Math/Science Center, Film Archives/Carpenter Center, Audio Preservation/Story St., Physics/Jefferson Lab, 625 Massachusetts Ave., 90 Mt. Auburn St., 8 Story St. and 1000 Mass. Ave).
• Serve as the primary point of contact during library building emergencies, renovations, and security incidents across FAS and HL locations.
• Work closely with Harvard University Police Department, external agencies, and relevant organizations to anticipate and address security concerns and develop security programs for the Libraries.
• Collaborate with the Library Preservation team to ensure environmental conditions meet preservation standards.
• Meet regularly with library department heads to ensure building operations and security needs are addressed and understood.
• Oversee and review computer-based HVAC, security & fire systems, monitor safety compliance, coordinate inspections, and ensure adherence to applicable codes and regulations.
• Continually manages and monitors project and work order systems to ensure timely and effective completion of work
• Partner with OPRP and Harvard University Office for Sustainability to implement best operations and maintenance practices, and to actively support FAS greenhouse gas and energy reduction goals.
Basic Qualifications:
Bachelor's degree plus 10+ years of progressive work experience managing facilities OR, in lieu of a degree, at least 12 years of progressive work experience managing facilities. Proven ability to analyze and resolve large-scale facility, logistical, and organizational issues. Strong computer and data analysis skills. Previous supervisory experience.
Additional Qualifications and Skills:
BA/BS preferred. Professional, with ability to communicate effectively with faculty and senior administrators. Diplomacy, negotiation, and consensus-building skills.
